Privacy Policy Statement
This Privacy Policy defines how HDPS collects, uses, and protects any personal data you provide when using our website or making an enquiry or booking. We are committed to ensuring your privacy is protected in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Data We Collect
We only collect personal data that is necessary to provide our services. This includes:
- Enquiry Data: Your name, home address, email address, and telephone number when you contact us.
- Booking Data: Your name, address, telephone numbers, and email addresses necessary for service delivery and records.
- Financial Data: We do not collect, record, or store any financial or credit card data.
2. Legal Basis for Processing
We process your data under the following legal bases allowed under the UK GDPR:
- Performance of a Contract: To fulfill our obligations regarding your booking or to take steps at your request before entering into a contract (answering enquiries).
- Legitimate Interests: To effectively manage our business operations, communicate with you, and respond to your service requests.
- Legal Obligation: To comply with UK financial, tax, and accounting regulations.
3. Data Storage and Security
We take data security seriously to prevent unauthorized access or disclosure.
- Storage: Your data is stored within a secure, password-protected email account and on two secure, password-protected PCs.
- Access: Your data is strictly accessible only by the owner of HDPS, Gary Hutchinson.
- Sharing: We do not share your data with third parties unless required by law, or to protect our legal rights (e.g., insurance claims or legal disputes).
4. Data Retention Periods
We only keep your personal data for as long as necessary to fulfill the purposes we collected it for:
- Enquiries (No Booking): Your data is used strictly to answer your query. It is deleted 7 days after our last communication, and relevant emails are archived.
- Future Requests: If you request that we keep your details on file, we will retain them until your specified period expires or until you ask us to delete them.
- Bookings: If you purchase services, UK tax law requires us to retain your details in our financial records for a minimum of 7 years. Afterward, it is permanently deleted.
5. Your Data Rights
Under the UK GDPR, you hold specific rights regarding your personal information:
- Access: You can request a copy of the personal data we hold about you.
- Rectification: You can ask us to correct or complete any inaccurate data.
- Erasure & Restriction: You can object to our processing or request that we restrict or delete your data under certain circumstances.

6. Complaints
